The process is the product

In a firm that sells expertise, the system does not support the work on the side. It carries the matter, the documents, the confidentiality boundary and the bill.

What is different here

Confidentiality is a structural requirement

Client work in a professional firm is organised by matter or engagement, and the boundary between them matters legally as well as operationally. Who can open a file, who can see a document, which team member is conflicted out: these are not preferences to be added later, they shape the data model. A tool that assumes everyone can see everything cannot be retrofitted into a firm.

The second reality is that the work is document heavy and the billing follows time and scope rather than a fixed price. Drafts, versions, approvals and signatures are the workflow, and unbilled time is lost revenue nobody notices until the month closes. Demand mostly arrives through referral and reputation, so the website's job is credibility and a clear route to a conversation, not volume.

Common technical situations

Situations that shape the work inside a firm

01

Every engagement lives in a folder structure and a spreadsheet, and only the person who set it up knows the current state.

We model the matter as a real record with stages, owners and documents attached, so status is visible without asking anyone.

02

A document went out with the wrong version because the final draft existed in three places.

We give documents one home with versions, review and approval recorded, so the current version is never in question.

03

Time is written up from memory on Friday and some of it never reaches an invoice.

We capture time against the matter at the point of work and reconcile recorded time to billed time before the invoice run.

04

A new referral arrives and nobody can confirm quickly whether the firm is conflicted.

We build the party and relationship data the conflict check needs, then run that check as a step in intake rather than a favour.

What we would need from you

What a project here requires from your side

Access

A working session with the person who runs matters day to day

A sample of anonymised documents and templates in scope

Read access to the systems that hold time and billing today

Data and context

How a matter is opened, staffed and closed in practice

The confidentiality and conflict rules you apply

Your billing arrangements, including how scope changes are handled

Where referrals come from and what enquirers ask first

Decisions

One partner who can approve the process as it will be enforced

A decision on which exceptions the system refuses to allow

Agreement on who may see what, written down before build

We prefer anonymised documents for anything we do not strictly need. Where real client data is unavoidable, we agree the handling in writing first.
